Sales Operations Coordinator

This position will support the day-to-day functions of sales operations team at Pathbuilders.  The role will require coordinating the sales and marketing process for Pathbuilders.  In addition to support sales, role will provide administrative support to operations team.  The coordinator will understand the core elements of the business and provide other support as needed.  The coordinator will report to the Program Manager. 

Key Responsibilities and Accountabilities

  • Responsible for the timely and accurate addition of new clients and maintenance of existing client records in the CRM (customer relationship management system), assuring most current information is available for the sales operations
    • Track and assess metrics related to participant engagement and provide historical statistics
    • Provide sales with other reporting as needed
  • Provide administrative support to sales team
    • Manage sales team schedules, setting up and confirming appointments.  Assure logistics of appointment are clear to the participants
    • Support the sales in scheduling external networking events that aid in marketing efforts
    • Review sales presentations and marketing materials for accuracy assuring brand guidelines are met
  • Proactively monitor and manage the production and inventory of all sales and marketing materials – in print or online
  • Coordinating with sales on social media strategy assuring sales is aware of any social media post
  • Provide support to sales operations team for all workshops, kick-offs, client events assuring a quality experience for our internal and external customers
    • Accurately print and assemble materials for all program and client deliverables (i.e. workshops, conferences, program kick-offs, graduations, etc.)
    • Support in execution day-of-event, as needed
    • Organize materials post event and ensure materials are returned to appropriate locations and general office space is kept neat
    • Perform data entry of participant evaluations and engagement in appropriate databases
    • Manage major outbound mailings and package prep to assure timely and accurate receipt of materials
  • Maintain the master file folder system for participant and client files
  • STANDARD DAILY ACTIVITIES
    • Assure timely responses to all emails
    • Attend sales operations meetings as required
    • Effectively collaborate with team

Desired Skills and Experience

  • Working knowledge of Microsoft Office Suite; especially Access, Outlook and Excel
  • Hands on experience with a CRM system – (Apptivo preferred)
  • Very strong organizational skills with attention to detail; high level of accuracy a must
  • Strong customer service focused
  • Well-developed interpersonal and communication skills
  • Ability to work in a fast-paced environment and comfortable managing multiple priorities
  • Professional appearance and manner
  • BS degree in Marketing or associates degree in relevant field a plus
